Playcubs is an independent Speech and Language Therapy service providing face-to-face services and support online. The service is owned and managed by Speech and Language Therapist, Amal Khalil.

Privacy and personal data storage is taken very seriously. All measures are taken to ensure that your information is safe, secure and necessary. We only store information that is needed in order to provide a service. This privacy policy covers how your data is used, stored and managed when you visit our website playcubs.com or via email.

What personal data we collect and why

In running and maintaining our website, we may collect and process the following data about you:

• Information about your use of our site including details of your visits such as pages viewed and the resources that you access. Such information includes traffic data, location data and other communication data.

• Information provided voluntarily by you e.g. when you register for information or make a booking.

• Information that you provide when you communicate with us by any means.

 

Cookies

Cookies provide information regarding the computer used by a visitor. We may use cookies where appropriate to gather information about your computer in order to assist us in improving our website. This is statistical data which does not identify any personal details. Google Analytics is a free service provided by Google inc. which sets a cookie to that allows us to evaluate how visitors use the site, and give us broad trends in how people access the website such as whether using a computer or a mobile phone. This is essential to us in helping make sure we provide the right information in the right format for our visitors. Our advertisers may also use cookies, which we have no control. Such cookies (if used) would be downloaded once you click on advertisements on our website.

 

Mailing list

When you sign up for the Playcubs newsletter your first name, surname and email address is stored on a third party mail provider: Wix. This information is used to send you mail and address it to you personally. Wix provides statistics about email opening and clicks using industry standard technologies. For more information, please see Wix’s privacy notice. You can unsubscribe to general mailing at any time by clicking the ‘unsubscribe’ link at the bottom of every newsletter.

 

Classes booking and registering interest

When booking for the first time or registering your interest in a class, you confirm consent to opt-in to communications by us about offers or when rebooking time comes around. You can opt-out at any time by clicking the ‘unsubscribe’ link at the bottom of every email communication.

 

Client data for individual assessment, therapy or school visit

If you become a client, then additional information is stored as part of the service provided. This includes written case notes, audio/video clips and postal address. When you become a client you will be asked to sign a consent form that includes further details on this.

 

Data we collect for our classes

To book onto our classes we need to know who you are and how to contact you. We also need to know the age of your child(ren) to make sure the class is appropriate. We will hold details of your name, address, contact details, name and age of your child(ren) and details of the classes and events you have attended. Finally, when you are paying via secure payment with Wix, the payment provider needs to know your Credit and Debit card details to verify the card (this information is not held by Playcubs, nor accessible to us).

 

Website hosting and payment

The Playcubs website is hosted by Wix. We share your data with third party companies who help us in processing the data in hosting the website and companies who process payments on our behalf. Please see the Wix website for more details about their privacy policy.

Use of your information

We use the information that we collect from you to provide our services to you. In addition to this we may use the information for one or more of the following purposes:

• To provide information to you that you request from us relating to our services or products.

• To provide information to you relating to other products that may be of interest to you. Such additional information will only be provided where you have consented to receive such information.

• To inform you of any changes to our website, services or products, that may affect our service.

 

Storing your personal data

Your information is stored on an encrypted, password-protected computer. Some information is stored on third party systems, as part of the service that is provided. These third parties act as data processors and have their own privacy policies that also protect your data. The following third parties are used by Playcubs:

• Wix (for hosting the website and database)

• Google Docs (for feedback and consent forms)

• Gmail (for sending and receiving individual emails)

 

Unfortunately the sending of information via internet is not totally secure and on occasion such information can be intercepted. We cannot guarantee the security of data that you choose to send us electronically. Sending such information is entirely at your own risk.

Where we have given you (or where you have chosen) a password so that you can access certain areas of our site, you are responsible for keeping this password confidential.

We will not disclose your personal information to any other party other that in accordance with this Privacy Policy and in the circumstances detailed below.

On occasion we include links to third parties ion this website. Where we provide a link it does not mean that we endorse or approve that sites privacy policy. You should review their privacy policy before sending them any personal data.

Access to your personal information

In accordance with the Data Protection Act, you have the right to access any information that we hold relating to you. If you wish to view your personal information or have it amended/deleted then you can email your request to Amal Khalil: playcubs@gmail.com. Please not that we reserve the right to charge a fee of £10 to cover costs incurred by us in providing you with the information. If you believe we are processing your personal data not in accordance with the law you can complain to the Information Commissioner’s Office (ICO).

How long do we keep hold of your information

We retain your information for the minimum period possible for business or legal reasons. For legal reasons this is often set at a minimum of 6 years. For details of specific data retention periods, please contact us at playcubs@gmail.com

Data Breach

Playcubs and the GDPR acknowledge that data breaches can and do occur. Playcubs has processes and controls put in place to minimise the possibility of a breach, but also when there is a breach to minimise the impact and to ensure that those affected are kept informed. Should your data be unlawfully accessed or the subject of a data breach that may cause you significant harm, we will contact you and the Information Commissioner’s Office within 72 hours. Our Data protection policy is available on request for more information.

Changes to this privacy notice

This policy was written in August 2022 as part of a policy review in order to comply with General Data Protection Regulations. The policy is reviewed annually. Please do not hesitate to contact us regarding any matter relating to this Privacy Policy.
